# WhatsApp for hair and beauty salons, run as a team

> WYP.chat lets a hair or beauty salon take appointment requests on WhatsApp and answer them as a team, from the reception computer or each stylist’s phone. You offer your available slots from Google Calendar, send reminders, and fill a cancelled appointment with a campaign to the clients who opted in.

**Your whole team, no seats to count.** With 5 people, the Team plan costs €99 a month excl. VAT, the same as with one. You pay Meta directly for its messages, with no markup.

For salons of every kind: hair salons, barbers, beauty salons, nail bars, brows and lashes, spas and massage.

## What salons do with WYP.chat

### Booking an appointment

A client asks for a slot. You offer the available slots in your Google Calendar, she replies, and the appointment lands in the calendar.

### Rescheduling without a call

Something came up? The client messages, and whoever is free offers another slot. Nobody has to put the hairdryer down.

### Each client with her own stylist

The conversation is assigned to the right person. An internal note keeps the colour formula, hidden from the client.

### A slot has opened up

Last-minute cancellation? A campaign tells the clients who agreed to hear from you. The first to reply gets the slot.

## Clients already book by message: what breaks with a single phone

With the WhatsApp Business app, messages arrive on the salon phone, usable on one main device and up to 4 linked devices, and nobody knows who replied to whom. WYP.chat keeps the same number and gives every team member their own access.

| Need | Salon phone | WYP.chat |
| --- | --- | --- |
| Replying while you work | The reception phone, one main device and up to 4 linked devices | Unlimited users, each with their own login, on computer or phone |
| Knowing who handles a request | No assignment | One owner per conversation |
| Remembering a client’s preferences | Scroll back through the chat | Contact card, labels and internal notes |
| Offering a slot | Open the diary, copy the times | “Meeting” button: available slots from Google Calendar, booking created |
| Announcing a available slot | Broadcast lists in the app | Campaign to clients who [opted in](https://wyp.chat/en/glossary#opt-in), with results |
| Not typing the same thing daily | Type it again | Shared quick replies, inserted with “/” |

## From message to booking in Google Calendar

Each team member connects their own Google account: the stylist who replies offers her own slots, and colleagues never see the details of her calendar.

[Google Calendar, Meet and Contacts](https://wyp.chat/en/integrations/google-calendar)

1. **The client messages the salon**: Her message lands in the shared inbox, alongside Instagram and your website chat.
2. **The right person picks it up**: Reception assigns the conversation to the stylist or therapist concerned.
3. **Offer your available slots**: The “Meeting” button shows the available slots in your Google Calendar, within your opening hours, over the next 10 days.
4. **Confirm the booking**: The appointment goes into your calendar and a confirmation message is drafted for you: check it and send it.
5. **See your day**: Each morning, “My day” lists today’s appointments next to the conversations waiting for you.

## Reminders the day before, rescheduling without a call

A reminder the day before cuts down on no-shows. With Calendly or Cal.com connected, the “Appointment reminder” scenario sends it automatically the day before, with “I confirm” and “Change” buttons. Otherwise it goes out from the conversation, in one click with a quick reply.

- **One-click reminder**: Save a “/reminder” quick reply for the whole team: date, time, salon address and how to rebook.
- **After 24 hours of silence**: WhatsApp only allows a free-form message within 24 hours of the client’s last message. After that, the reminder uses a template approved by Meta, charged by Meta at the utility rate.
- **Rebooking**: The client replies to the reminder, anyone on the team offers another slot, then moves the appointment in Google Calendar.

## Filling a cancelled slot in minutes

A campaign sends an [approved template](https://wyp.chat/en/glossary#modele) to a group of clients chosen by label or segment, such as “Waiting list” or “Saturday regulars”.

- **Only with consent**: A promotional message only goes to clients who agreed to receive it. WYP.chat automatically leaves out those without consent and those who replied STOP.
- **Asking for consent**: The “Marketing consent” scenario asks with two buttons and records the answer in the contact’s history.
- **Seeing who replied**: Sent, delivered, read and replies are shown in the campaign, and every reply lands in the shared inbox.

## Alongside your booking software, not instead of it

Booking systems such as Fresha, Booksy or Treatwell run the diary and online booking. WYP.chat does not connect to them: it handles the conversations, which those tools do not share between several people.

- **Your diary stays put**: Keep booking in your software. WYP.chat is for the questions, changes and requests that arrive by message.
- **A booking link**: If your booking page runs on Google Calendar, Calendly or Cal.com, your website chat shows it, and the “Appointment booking” scenario sends it when a client writes “appointment”. With Calendly or Cal.com connected, the client also gets a WhatsApp reminder the day before.
- **Google reviews**: The “Review after resolution” scenario asks for a rating, then sends your Google listing link to happy clients.

## Before and after photos: ask first

Clients send inspiration photos, you send back the result: it all stays in the conversation. Posting a client’s photo on Instagram or your website is a different matter.

- **Consent to publish**: Get a recognisable client’s agreement before posting her photo, ideally in writing, stating where it will appear.
- **Keep it on file**: A “Photo consent” label and a dated internal note keep the record visible to the whole team.

## Questions from salons

### Can we keep the salon’s WhatsApp number?

Yes. The number is connected to WYP.chat through Meta’s official API, and the WhatsApp Business app can stay on the salon phone. Clients keep messaging the same number.

### Can stylists reply from their own phones?

Yes, each with their own login, on the salon’s number: their personal number never shows. Users are unlimited on every plan.

### Does WYP.chat replace my booking software?

No. Your booking software keeps the diary; WYP.chat handles WhatsApp, Instagram and website chat conversations as a team. There is no connection between the two today.

### Are appointment reminders automatic?

Yes, with Calendly or Cal.com connected: the reminder goes out automatically on WhatsApp the day before, with “I confirm” and “Change” buttons. Otherwise it goes out from the conversation, in one click with a quick reply.

### What are the downsides of WhatsApp Business for a salon?

The app runs on one main device and up to 4 linked devices, with no assignment and no record of who replied. Follow-ups are manual. WYP.chat adds exactly that, on the same number.

### How much does it cost?

The Free plan covers 50 conversations a month. Solo costs €29 a month excl. VAT, with campaigns. Meta charges for its messages separately: your replies within 24 hours are free up to 1,000 a month per number, and templates are paid.
