# Calendly and WhatsApp: every booking in the customer’s conversation

> WYP.chat connects Calendly to your WhatsApp conversations. Every booking, reschedule or cancellation shows in the customer’s conversation and on their record, and the Appointment reminder scenario messages them on WhatsApp the day before, with “I confirm” and “Change”. You need a paid Calendly plan and a token you paste once.

At a glance

- Every booking in the customer’s conversation
- WhatsApp reminder the day before, at 6 pm
- “Change” sends the Calendly link
- Paid Calendly plan required
- Every WYP.chat plan

## Your Calendly bookings next to your messages

One customer books, another moves their slot, a third does not turn up: the team sees it in the conversation where they already reply.

### The day-before reminder

At 6 pm the day before, the customer gets a WhatsApp message with two buttons. If they reply “Change”, they get the link to pick another slot.

### The whole team sees the booking

The appointment line says whether it was booked, rescheduled or cancelled, and Calendly no-shows are noted too. The contact record lists upcoming and past appointments.

### The link sent at the right time

When a customer asks for an appointment, the Appointment booking scenario and the AI agent send them your Calendly page. The confirmation then arrives in the thread.

## What the Calendly integration does

The integration uses Calendly’s official API. You paste a personal access token into WYP.chat, which checks it and subscribes to your bookings itself: no webhook to set up.

- **Bookings in the thread**: Every booking, reschedule or cancellation becomes an appointment line in the customer’s conversation, with the service, the date and the host. A no-show marked in Calendly is noted too.
- **Customer matched**: WYP.chat finds the person by their email, then by the phone number given when booking. Otherwise, the contact record is created.
- **Contact record**: An appointments section lists upcoming and past appointments, with the service, the date, the host and the tool.
- **Day-before reminder**: The Appointment reminder scenario messages the customer on WhatsApp the day before at 6 pm (you can change the time), with “I confirm” and “Change”.
- **Booking link**: If no link is set in the website chat, your Calendly page becomes the workspace’s booking link: the {{lien\_rdv}} variable, the Appointment booking scenario and the AI agent.
- **Checked events**: Every event is read again from Calendly before it is saved, and an event received twice writes only one line.

## One booking, with and without the integration

The same appointment, booked on your Calendly page the evening before.

| Step | Without the integration | With Calendly in WYP.chat |
| --- | --- | --- |
| Know who booked | Open Calendly or the confirmation email | The appointment in the customer’s conversation |
| Remind the customer | Message each one, or an email reminder | WhatsApp message the day before, with two buttons |
| Move an appointment | Swap messages to find a slot | “Change” sends Calendly’s reschedule link |
| See the customer’s history | Search in Calendly | Upcoming and past appointments on the contact record |

Reminder

## The WhatsApp reminder the day before the appointment

At 6 pm the day before, the Appointment reminder scenario sends the customer a WhatsApp message with “I confirm” and “Change”. The day and time are set in the appointment date trigger.

[Turn on the appointment reminder, step by step](https://wyp.chat/en/help/rappel-rendez-vous)

- **The customer wrote in the last 24 hours**: WhatsApp’s [24-hour window](https://wyp.chat/en/glossary#fenetre-24h) is open: the reminder goes out as a button message.
- **After 24 hours**: The reminder uses the “appointment\_reminder” utility template from the library, to be approved by Meta, with one button to confirm and one to change the appointment.
- **“Change”**: The customer gets Calendly’s reschedule link and picks another slot themselves. Without a link, the conversation goes to the team.
- **Never**: On a channel other than WhatsApp, without a reachable WhatsApp number, or to a customer who replied STOP or refused your messages.

## Connect Calendly to WYP.chat

A few minutes, once for the whole workspace: the token is created in Calendly and pasted into WYP.chat.

For the workspace owner and admins, on every WYP.chat plan. According to Calendly, webhooks need a paid plan (Standard, Teams, Enterprise…): on the Free plan, WYP.chat refuses the connection and tells you so.

1. **Create a token in Calendly**: In Calendly, open Integrations & apps › API and webhooks › Personal access tokens and create a token with the users:read, webhooks:write and scheduled\_events:read scopes.
2. **Paste the token into WYP.chat**: Open Settings › Workspace and members, Calendly section, and paste the token. WYP.chat tests it without changing anything in Calendly and creates the booking subscription itself.
3. **Install the reminder**: In Automation › Scenarios › Ready-made scenarios, install Appointment reminder, send the library template to WhatsApp for approval, then activate the scenario.

## What the integration does not do (yet)

So you know what to expect:

- Customers cannot pick their slot inside WhatsApp yet: WYP.chat sends them the link to your Calendly page.
- One token per workspace: members do not each connect their own Calendly account.
- Appointments booked before the connection are not imported.
- A booking does not open the 24-hour window: WYP.chat never messages the customer on its own, apart from the reminder.
- The reminder only goes out on WhatsApp, to a customer with a reachable WhatsApp number.
- Outside the 24-hour window, Meta charges for the reminder’s utility template, like any [WhatsApp template](https://wyp.chat/en/glossary#modele).

Plan

## Calendly in WYP.chat, on every plan

The Calendly integration is included in every WYP.chat plan, from the Free plan, with unlimited users. On the Free plan, each reminder costs 2 credits (automated message). Your Calendly subscription stays with Calendly, on a paid plan.

## Frequently asked questions

### Do I need a paid Calendly plan?

Yes. According to Calendly, webhooks need a paid plan: Professional, Standard, Standard Plus, Teams, Teams Plus or Enterprise. On the Free plan, WYP.chat refuses the connection and tells you so, and your booking page still works in your website chat bubble.

### Does the customer get a WhatsApp message when they book?

No. The booking is logged in their conversation, but WYP.chat never writes to them on its own. The only automatic message is the day-before reminder, if the Appointment reminder scenario is active.

### What happens when the customer taps “Change”?

WYP.chat sends them the reschedule link provided by Calendly: they pick another slot themselves, and the change then arrives in the thread. Without a link, the conversation goes to the team.

### Can the customer pick a slot directly in WhatsApp?

Not yet. Today WYP.chat sends the link to your Calendly page, from the Appointment booking scenario or the AI agent, and the booking comes back to the conversation.

### Are my earlier Calendly appointments imported?

No. Only appointments booked, rescheduled or cancelled after the connection reach WYP.chat.
