Appointment reminder the day before on WhatsApp

Updated on 1 min read

The Appointment reminder scenario sends the customer a WhatsApp message the day before their Calendly or Cal.com appointment, at 6 pm (you can change the time), with two buttons: I confirm and Change. “Change” sends them the link to pick another slot, without the team having to step in.

Steps

  1. Connect Calendly or Cal.com: see Connect Calendly to WYP.chat or Connect Cal.com to WYP.chat.
  2. Open Automation › Scenarios, Ready-made scenarios tab, click Appointment reminder, then Install.
  3. The When block is set to the day before the appointment at 6 pm: click it to change the day or the time.
  4. If the customer wrote to you in the last 24 hours, the reminder goes out as a button message. Otherwise WhatsApp requires a message it has approved: the scenario uses the Appointment reminder utility template from the library, with one button to confirm and one to change the appointment. Open Sales › Templates, import it from the library and click Send to WhatsApp for approval, then choose it as the WhatsApp-approved message in the reminder step.
  5. When the customer replies Change, WYP.chat sends them Calendly’s reschedule link (with Cal.com, their booking page). Without a link, the conversation goes to the team.
  6. Test the scenario with Test, then click Activate.
